Billing Coordinator

Schwartz & Shaw, P.L.L.C., a boutique law firm in Raleigh, NC, is seeking a full-time Billing Specialist/Receptionist.  Established in 1991 and designed to serve and meet the special needs of education clients, we currently have eleven attorneys, all concentrating in Education Law.  Since its inception, our firm has performed services for more than ninety school systems in North Carolina and other states.  The firm is recognized in North Carolina and nationally as a leader in Education Law. 


The Billing Specialist is responsible for all aspects of client bill preparation according to both client and attorney specifications, including but not limited to: 


  • entering new clients and matters

  • time entry

  • drafting of bills

  • processing edits

  • gathering and organizing support documentation for expense charges

  • entering and reconciling expenses

  • maintaining accurate billing rates and arrangements, billing addresses, and billing status

  • monitoring WIP and A/R

  • coordinating the printing and mailing of invoices

  • processing mail

  • perform accounting support in areas such as cash receipts

  • provide time and billing application support to users as needed

  • research and resolve complicated billing inquiries prior to billing completion.


Receptionist duties include:


  • answering multi-line phone system

  • getting to know our practice and our clients and treating all with professionalism and kindness

  • understanding how to handle cold calls not related to our area of law in a polite and professional manner

  • interact with all levels of attorneys and staff.


Qualified candidates must have a high school diploma with a basic understanding of accounting principles. College degree preferred. Solid computer skills, proficiency with Microsoft Word, Excel, Outlook, and exceptional analytical skills are required.  Successful candidates must have excellent attention to detail; strong organizational and prioritization skills with the ability to meet deadlines in a fast-paced environment; analytical thinking and problem solving skills; ability to work in a team environment; strong customer service orientation and oral and written communication skills.  Work schedule is Monday through Friday, 8:30am to 5:30pm. Candidates must be flexible to work overtime during time critical deadlines such as month-end and year-end closing.  Applicants with law firm and e-billing experience are strongly encouraged to apply but this is a wonderful opportunity for the recent college grad.
